7.6. Preview Images, PDFs, and Videos and Download Documents
Preview images, text documents, PDFs, and videos directly in AlgaPSA, or download files when technicians and clients need local copies.
- Preview: For images, text documents, and PDFs, you can click the thumbnail to preview the content directly within AlgaPSA. For videos, the preview opens a built-in player.
- Download: Click the download icon on a document card to save the file to your local computer.

Viewing and downloading documents helps technicians and admins work from the same reference material. Use preview when you only need to confirm content quickly, and download when you need a local copy for offline review, vendor submission, or attachment outside AlgaPSA.
- Navigate to Documents from the sidebar, or open a record that has a Documents area.
- Locate the document card you need. Use search, filters, folders, or the associated record to narrow the list.
- For images, text documents, and PDFs, click the thumbnail to preview the content directly within AlgaPSA.
- For videos, the preview opens the built-in player.
- Review the preview to confirm it is the correct file.
- Click the download icon on the document card to save the file to your local computer.
- Store or handle the downloaded file according to your MSP's client-data practices.
After previewing, you should be able to inspect the document without leaving AlgaPSA. After downloading, the browser saves a local copy that you can open with the appropriate application on your computer.
Operational tip: preview before downloading when several documents have similar names. This reduces the chance of sending the wrong file to a vendor or working from an outdated copy. If the document is hard to find, use the filters described in Searching and Filtering Documents.
