Technicians should review time before submitting it so managers are not approving incomplete notes, wrong services, or entries attached to the wrong work item. Clean time sheets also reduce billing cleanup later, especially when approved billable time flows into invoices.

Start from the time entry view for the period you need to complete. If you are not there yet, open the Time Entry screen, select the relevant period, and click View.

Figure 1: A weekly time sheet. Each work item is a row, hours land on the day they were worked, and the header shows the sheet's approval status.

  1. Review the entries in the period. Check that each item has the correct work item, date, duration, service category, and notes.
  2. Edit Entry: In the time entry view for a period, click the pencil icon next to an entry to modify its details.
  3. Update the entry as needed. For example, correct an ad-hoc internal meeting or revise notes for a ticket-related visit to Harbor Clinic.
  4. Delete Entry: Click the trash can icon next to an entry. Confirm the deletion when prompted.
  5. Recheck the period totals after edits or deletions. Make sure the hours still match the work you intended to report.
  6. Submit Time Sheet: Once all entries for a period are complete and accurate, click Submit Time Sheet in the top right.

After submission, the status of the time period will change to "Submitted for Approval." At that point, a manager or approver can review the time sheet from Approvals under Time Management. They may approve it or use Request Changes if the sheet needs correction.

If changes are requested, return to the same period, make the requested updates, and submit the time sheet again. If an already approved time sheet needs to be modified, an approver may need to use Reverse Approval first.

Operational tip: do a final notes pass before submitting. A short note such as "Completed Microsoft 365 Management mailbox setup for Pioneer Law Group" is more useful to approvers and billing staff than a generic "worked on email."
