21.4. Pipeline Reports, Weighted Forecast, and Pipeline Meeting Mode
Report on open MSP pipeline by stage and currency, read the weighted forecast, track new MRR by quarter, and run a pipeline review with AlgaPSA meeting mode.
An MSP pipeline report has to answer two different questions without confusing them. What is actually out there, and what will realistically land? The Reports tab keeps both on one screen and never mixes them.
The Reports tab
Figure 1: Pipeline reporting. Totals are grouped by the currency each deal is priced in.
Four totals sit across the top:
| Total | What it counts |
|---|---|
| Open pipeline | Every open deal at full value |
| Weighted forecast | The same deals discounted by their stage base rate |
| Closing in 30 days | Deals with an expected close date inside the month |
| New MRR this quarter | Recurring revenue actually won, quarter to date |
Recurring and one-time value stay separate in every total — $26,630.00/mo + $150,750.00 one-time is a genuinely different pipeline from one that is all project work, and averaging them into a single number would hide that.
Totals are grouped by the currency each deal is priced in. A tenant selling in USD and CAD gets a block per currency rather than a converted blend, so no report depends on an exchange rate that was right on Tuesday.
Weighted forecast and base rates
The by-stage table shows deal count, recurring, and one-time value per stage, together with the base rate applied to it:
| Stage | Base rate |
|---|---|
| Identified | 5% |
| Qualified | 15% |
| Assessment | 35% |
| Proposed | 50% |
| Verbal | 80% |
The weighted forecast is the sum of each stage's value at its base rate. Two deals worth $8,400/mo sitting at Verbal contribute $6,720/mo; the same money at Identified would contribute $420/mo. This is what makes stage discipline matter — a deal parked at the wrong stage distorts the number the whole business plans against.
Open any total to see the stages behind it, then select a stage to review the individual deals that were counted. Print produces a clean copy for a board pack or a partner meeting.
New MRR this quarter
Unlike the other three totals, New MRR this quarter counts closed-won business, not pipeline. It is the number that tells you whether the pipeline work is converting, and it resets each quarter.
Calibrated forecast (Pro)
Base rates are a starting point, not a law. Open the calibrated forecast leads to the Forecast tab, which adjusts the model against how your deals have actually closed rather than against the default percentages.
The Forecast tab is available on Pro.
Pipeline meeting mode (Pro)
The Meeting tab runs a pipeline review without anyone screen-sharing a spreadsheet. It walks the deals that need discussion one at a time — stalled deals, deals closing this month, deals whose confidence and stage disagree — and records decisions and next actions directly onto each deal as you go.
The result is that the review ends with the plan already updated, instead of with someone promising to write up notes.
Meeting mode is available on Pro.
QBR packs (Pro)
For client-facing reviews, AlgaPSA assembles a quarterly business review pack for a client from the data already in the system — the services they buy, the work you delivered, the assets approaching refresh, and the whitespace conversations still open. It gives an account manager a defensible starting point for the meeting rather than a blank slide deck.
QBR packs are available on Pro.
What to watch in a weekly review
- Stalled count on the Queue. Deals nobody has touched in two weeks are the leading indicator of a bad quarter.
- Assessment column depth. An empty Assessment stage means nothing will reach Proposed next month.
- Verbal ageing. Deals sitting at Verbal are usually a contracting or paperwork problem, not a sales problem.
- Confidence against stage. A deal at Identified with Committed confidence, or one at Verbal marked Low, is a conversation worth having with the owner.
