Capture the next sales step while the conversation is still fresh. If Northstar Accounting asks about a managed endpoint agreement during an on-site visit, create the opportunity before leaving and set a follow-up that the account manager can see.

This guide covers mobile app 1.6.1. You need an internal AlgaPSA account with opportunity access and a server connection to save work. Creating opportunities requires permission to create them. The mobile Opportunity Queue uses your existing deal records and plan steps.

Capture an opportunity quickly

  1. Open the menu and choose Opportunities.
  2. Tap New opportunity.
  3. Choose Client and enter Title, such as “Managed endpoint agreement for Northstar Accounting.” These are the two required choices for quick capture.
  4. Review More details (optional) when you already know the next step or commercial details.
  5. Tap Create opportunity. The app opens the new deal after it saves.

The form supplies a First action of Schedule discovery call and a due date at 9:00 a.m. three business days later. Change these to match the actual promise. It chooses New client for a prospect and Expansion for a client with another lifecycle status, and uses the client's default currency when available.

After saving, check the client, deal type, currency, and next action. For Northstar Accounting, replace the generic discovery action with the agreed step, such as “Review endpoint counts with the office manager.”

Decide what to work: Queue or Pipeline

Use the segments at the top of Opportunities to switch views.

The Queue can also show Money found, with suggestions from billing, contracts, and assets. Review those suggestions through Review in web app. Currency totals remain separate, so do not add unlike currencies together when reviewing their value.

Tap a deal card to open its detail. Review the client, stage, values, owner, confidence, and expected close date where present. Pull to refresh when you need the latest state after another team member has worked the deal.

Complete the current action and choose what comes next

The deal's Current plan distinguishes Current and Planned steps. The Next action card has the primary Complete button.

  1. Perform the current action, then tap Complete.
  2. In Complete action, review the action under Completing.
  3. If planned successors exist, choose one under Next step. To define a different step, choose Write a new one….
  4. For a new step, enter Next action, Due date, and Time. An open deal needs a next action and deadline.
  5. If the current step represents a sales checkpoint, review This also reaches [stage]. Select it only when the work actually reached that stage.
  6. Tap Complete and set next and check Action completed. Verify the next-action card now shows the intended successor.

For example, completing the endpoint-count review can lead to “Send managed endpoint proposal” with a promised date. Log the conversation outcome in an interaction; the next-action field should describe future work. Plan design and broader deal administration remain web workflows, covered in 21.2. Work a Daily Opportunity Queue and Keep Every Deal Moving.

Call the contact and record the outcome

Use Call or Email on the deal's contact, or select a person from Client contacts. After a call placed from the app, returning to the opportunity shows Log this call?. Choose Log the call, review the Call type and elapsed Duration (minutes), add the outcome, and tap Log it.

The interaction links to the opportunity, client, and contact called. Check it in Timeline. You can also choose Log interaction without placing a call first, for example to record an on-site discussion.

Logging the call and completing the plan step are separate actions. After recording a successful review call, use Complete to advance the next action. For exact prompt behavior and duration limits, see 22.6. Call, Email, and Log Interactions from the Phone.

Put a follow-up on your calendar

  1. On the deal, tap Schedule follow-up.
  2. Review Title, which starts with “Follow up:” and the deal title.
  3. Set Date, Start, and End. The end must follow the start.
  4. Tap Add to calendar.
  5. Open Schedule from the menu and confirm the booking.

This creates an ad-hoc entry on your AlgaPSA schedule, also visible in the web calendar. It does not create an event in the phone's native calendar. Booking a follow-up does not itself complete the current plan step, so keep the next action and its deadline aligned with the appointment.

Record a win or loss

Use Mark won when the opportunity has met the closing requirements. Review Mark won? and confirm Mark won. The server checks its close rules. If it rejects the transition, address the reported requirement and retry. Finish the conversion to an agreement or project in the web app.

For a loss, tap Mark lost, select Reason, and optionally record Lost to and Notes. Reasons include No response, Chose a competitor, Price, Timing, No budget, Not a fit, and Other. Confirm Mark lost and check the result in the Lost pipeline view.

Before leaving the client site, verify three separate records when applicable: the conversation in Timeline, the next action on the deal, and the appointment in Schedule. That gives the account manager enough context to continue the work without repeating the conversation.
