This feature allows you to associate documents already in AlgaPSA with other entities like clients, contacts, tickets, or projects. From the record's documents area, look for the link option — on a contact, for example, the Contact documents dialog has a Link existing button. This opens a selector where you can search and choose from your existing AlgaPSA documents.

Linking existing documents avoids duplicate uploads and keeps one source of truth for shared material. For example, a standard operating procedure can live once in the Documents module and be linked to a ticket, project, or client record whenever technicians need it.

Use this workflow when the document already exists in AlgaPSA and you want it visible from another record.

  1. Open the client, contact, ticket, or project that should reference the document.
  2. Go to that record's documents area.
  3. Look for the link option (on a contact, click + Add a document, then Link existing).
  4. Open it to display the document selector.
  5. Search or browse for the existing AlgaPSA document.
  6. Choose the correct document from the selector.
  7. Save or confirm the association using the controls in that record.
  8. Review the record's document area to confirm the linked document appears.

After linking, the document remains in the Documents module and is also associated with the selected client, ticket, or project. This lets someone working from the record open the document in context without creating a second copy.

Operational tip: link rather than upload when the file is shared across multiple records. If the same Microsoft 365 Management checklist applies to several onboarding tickets, linking the existing checklist makes updates easier and prevents technicians from using stale copies.
