Clients can view billing information through the Client Portal, giving them transparency into invoices and service usage.


What Clients Can Access

Invoice Visibility

Clients only see finalized invoices. Draft or pending invoices are not visible in the Client Portal until finalized.

For each invoice, clients can:

  • View invoice details and line items
  • Download invoices as PDF
  • Review payment history

Credit Notes and Prepayments

Credit notes and prepayments are labelled as such in the portal. They no longer appear among pending or overdue invoices, and they are not payable — a client cannot be asked to pay a document that represents money you owe them or money they have already paid.

Available Credit card

A dedicated Available Credit card shows the client's current balance, along with:

  • Where each credit came from — a credit note, a prepayment, or a specific adjustment
  • When each credit expires

The balance is derived from live credit tracking rather than a cached figure, so the number a client sees in the portal is the same one your team sees on the client record and the credit report.

Where a client's credit is held in your accounting system rather than in AlgaPSA, an external-credit note on the client records that fact, so a prepaid client is not presented as delinquent while the bookkeeper applies it.


Project Billing Summary

Clients with billing access see a read-only billing summary on their projects: the agreed basis, what has been invoiced, and what remains. Internal cost, margin, and write-downs are never shown.

Permissions

Client portal billing access is controlled by permissions. Ensure the client's portal role has:

  • Billing resource access
  • Client flag enabled for billing permissions

Without proper permissions, the Billing section will not be accessible to the client.


Hours and Usage Reporting

Clients can filter billing data by date range to see:

  • Hours logged by service type
  • Usage metrics for the selected period

This provides transparency into how time and resources are being allocated to their account.
