13.8. End-User Guide: Using the AlgaPSA Client Portal for Tickets, Appointments, and Billing
Client-facing guide for using the AlgaPSA portal to sign in, create tickets, and access the projects, appointments, billing, profile, settings, license, and app surfaces your MSP has enabled for your account.
This guide is intended for clients using the Client Portal to interact with their MSP.
Signing In
- Navigate to your MSP's portal URL.
- Enter your email and password, or choose your organization's SSO option if your MSP has enabled portal SSO.
- Click Sign In.
Note: Contact your MSP if you don't have login credentials.
Dashboard
The Dashboard provides an overview of your account:
- Open Tickets - Number of active tickets
- Open Projects - Projects in progress, when project access is enabled
- Pending Invoices - Outstanding invoices, when your account has billing access
- Upcoming Appointments - Scheduled appointments, when appointment access is enabled
Quick Actions:
- Create Ticket - Submit a new request
- Request Appointment - Schedule a meeting when appointment access is enabled
- View Latest Invoice - See your most recent invoice when your account has billing access
Notifications: Click the bell icon to view updates about ticket comments, status changes, and appointments.
Tickets
Viewing Tickets
Navigate to Tickets to see all your tickets with:
- Ticket number, title, status, priority, due date, assigned technician, and timestamps
Filter by status, priority, category, or use the search bar. Click Reset Filters to clear.
Creating a Ticket
- Click + Create Ticket.
- Fill in: Title, Priority, Category, and Description.
- Click Submit.
Ticket Details
Click any ticket to view full details. You can:
- Change status - Click the Status dropdown, select a new status, and confirm
- Add comments - Click Add Comment, enter your message, and submit
- Edit/delete your comments - Use the pencil or trash icons on your comments
Appointments
Requesting an Appointment
- Click Request Appointment from the Dashboard or Appointments page.
- Step 1 - Service: Select a service and optionally link to an existing ticket.
- Step 2 - Date: Choose your preferred date from the calendar.
- Step 3 - Time: Select an available time slot and optionally choose a preferred technician.
- Step 4 - Confirm: Review the summary, add notes if needed, and click Request Appointment.
Note: Appointment requests require approval. You'll receive an email when approved.
Managing Appointments
If Appointments appears in your portal sidebar, open it to view your requests. Filter by: All, Pending, Approved, or Declined.
For each appointment you can:
- View Details - See full appointment information including status, reference, and assigned technician
- Edit - Modify pending appointments (not available after approval)
- Cancel - Cancel the request (cannot be undone)
Billing
If your account has billing access, navigate to Billing to access:

| Invoices | View and download invoices as PDF |
| Quotes | Review quotes shared by your MSP |
| Hours by Service | Breakdown of time spent by service type |
| Usage Metrics | Detailed usage data for a selected date range |
For Hours by Service and Usage Metrics, set a date range and click Apply Filter.
Projects
If Projects appears in your portal sidebar, open it to view projects your MSP is working on for you.
The project list shows: Project number, name, status, start date, and end date.
Filter by status or use the search bar.
Click a project to view details including phases, tasks, and progress.
Settings
Navigate to Profile to update your personal profile, password, and account security options. The profile also holds your Language Preference — pick the language you want the portal and email notifications in (English, French, Spanish, German, Dutch, Italian, Polish, or Portuguese), or leave it unset to use the default your MSP configured for your organization.
If your account has client-settings access, navigate to Client Settings to manage:

Inviting Users
If you have permission:
- Go to User Management.
- Click Invite User.
- Enter their email and select their role.
- Click Send Invitation.
