19.3. Stock Locations: Warehouses, Offices, and Technician Vehicles
Set up AlgaPSA stock locations — warehouses, offices, and technician vehicles — assign engineers to vans, choose the default location, and deactivate locations safely.
Every quantity in Inventory lives somewhere. Locations model your physical world: the shop's stockroom, a branch office shelf, and — most importantly for field teams — each technician's vehicle.
Manage them under Inventory → Stock Locations.
Warehouses, offices, and each technician's van in one list — with the default location, what each holds, and who it belongs to.
Location types

Each location shows what it currently holds ("12 products", "3 units", or "Empty"), and you can drill in to see the exact stock at that location. A location can carry a street address, which flows onto ship-from details and receiving.
Per-location reorder levels
A product's reorder point is a tenant-wide default, but you can override it per location — a van might trip low at 2 access points while the warehouse holds 20. Available at or below the effective threshold for that location is what marks the product low, feeds the daily alert, and drives the van load list.
Vehicles and engineer assignment
Assign a technician to a vehicle with the Assigned to field. This is more than a label:
- A technician can only receive stock into, dispatch transfers out of, and work from their own vehicle — one tech cannot quietly drain another tech's van.
- The Van load list on the Transfers screen computes what a vehicle needs to get back to its reorder levels, ready to dispatch as a transfer (see Transfers, Adjustments, and Cycle Counts).
Default location and managers
- Default location: exactly one location is the tenant default — it pre-fills receiving dialogs and is where ticket- and project-material consumption draws from. Use Set default to move it.
- Location manager: each location can have a manager, who receives that location's daily low-stock alert. Alerts are strictly per location — the warehouse manager hears about the warehouse, not about every van in the fleet.
Deactivating a location safely
You cannot deactivate a location that still holds stock or units — the action is blocked until the location is empty ("Holds stock — move it out before deactivating"). Transfer remaining stock to another location first. This guarantees stock never becomes stranded at an invisible location; deactivated locations can be reactivated later.
