18.4. First Sign-In and Guided Onboarding
Sign in to your self-hosted AlgaPSA for the first time and complete the guided onboarding: your team, your first client and contact, a billable service, and your ticketing board.
The appliance is deployed and the application is serving sign-in. Now you sign in for the first time and work through the guided onboarding for your team, your first client, billing, and ticketing. If the application is not ready yet, finish Configure the appliance first.
You sign in at the App URL on port 3000. Use the administrator email and password you created in the setup wizard.
Open the App URL, for example http://192.168.122.55:3000/. AlgaPSA shows the MSP sign-in screen.
Figure 1: The MSP sign-in screen.
- Enter the administrator email and password from the setup wizard. In the example, that is
dana.whitfield@northpointtech.com. - Select Sign in.
On a first sign-in, AlgaPSA tells you your workspace needs a quick setup and sends you into the guided onboarding wizard.
Step 1: Confirm your details and set a password
The first step confirms who you are. You also replace the temporary password from setup with one you choose.
Figure 2: Step 1 confirms your name and company and asks you to set a password.
- Confirm your name and company. These carry over from the setup wizard.
- Set a new password. This becomes your real sign-in password from now on.
- Select Next.
The progress bar across the top tracks the six onboarding steps. You can move forward and back, and skip the optional steps.
Step 2: Invite your team
Add the technicians and staff who will work in AlgaPSA. Each person gets an account and a role.
Figure 3: Add a team member with a name, email, role, and temporary password.
- Enter the member's name, email, and a role such as Technician, Dispatcher, or Admin.
- Set a temporary password. The user changes it on their first sign-in.
- Select Save to create the account, then Next.
This step is optional. You can invite the rest of your team later from Settings.
Step 3: Add your first client
Create the first client you manage. In the example, that is a dental group.
Figure 4: Add your first client with their contact details.
- Enter the client name, email, phone, and website.
- Select Next.
Step 4: Add a client contact
Add the person you work with at that client, so requests and updates have a name attached.
Figure 5: Add the primary contact at your client.
- Enter the contact's name, email, and role, for example a Practice Manager.
- Select Next.
Step 5: Set up your first billable service
Create a service you bill clients for. This seeds your service catalog so you can build contracts and invoices later.
Figure 6: Create your first billable service with a type, billing mode, and rate.
- Name the service, for example
Managed Endpoint Care. - Choose a service type and a billing mode (Fixed, Hourly, or Usage).
- Set a default rate and currency.
- Select Next.
This step is optional. You can build out your full service catalog later under Billing.
Step 6: Configure ticketing
The last step sets up the service desk: a board for tickets and the priorities that drive urgency.
Figure 7: Configure a board, priorities, and an optional support email.
- Add a board, for example
Service Desk, and set it as the default. Tickets created from the client portal land on the default board. - Add priorities. Use Import from Standard to bring in a ready-made set such as Low, Medium, High, Urgent, and Critical.
- Set a support email if you want emails to that address to create tickets automatically.
- Select Finish Setup.
A board and at least one priority are required. Categories and statuses are optional. You can add them later.
You are in
When you finish onboarding, AlgaPSA opens the dashboard, your command center for the platform.
Figure 8: The dashboard after onboarding, with quick-start cards for the next setup tasks.
The work you did in onboarding is already in the system. Open Clients from the sidebar and you will see the client you added, alongside your own company.
Figure 9: Your first client, GreenLeaf Dental Group, is ready to work with.
What to check
- You can sign in with the administrator email and the password you set in onboarding.
- Your first client appears under Clients, with its contact attached.
- Your ticketing board appears when you open Tickets, ready to take its first request.
From here, build out the rest of your operation: see Adding a New Client, Creating a New Ticket, and Creating Client Contracts.
