16.4. Edit Asset Details and Manage Status, Location, and Deletion
Update an AlgaPSA asset's identity, lifecycle dates, full hardware specifications, status, and location, or delete a retired asset from your MSP inventory.
The edit form is where you record an asset's complete details, beyond the essentials captured at registration.
- Open the asset, then choose Edit Asset from the Actions menu (or Edit asset from a row's actions on the dashboard).
- Update the fields, which are organized into sections:
- Basic Information: Name, Asset Tag, Serial Number, Status, Purchase Date, and Warranty End Date.
- Client & Location: The owning Client and Primary Location.
- Type-specific details: The full specification set for the asset's type.
- Click Save Changes.
Setting Status:
An asset's Status can be Active, Inactive, or Maintenance. Status drives the dashboard filters and metrics, so keeping it current makes it easy to see which devices are live, retired, or temporarily out of service.
Setting the Location:
Under Primary Location you can:
- Select one of the client's saved locations.
- Choose Custom location to type a free-form area (e.g., "Server Room B," "3rd Floor — East Wing").
If the client has no saved locations yet, use custom entry, or add locations from the client record first.
Full Type-Specific Specifications:
The edit form exposes the complete detail set for each asset type, for example:
- Workstation / Server: OS Type, OS Version, CPU Model, CPU Cores, RAM (GB), Storage Type, Storage Capacity, GPU, and (for servers) RAID Config, Primary IP, and Virtual Machine / Hypervisor details.
- Network Device: Device Type, Management IP, Port Count, Firmware Version, Supports PoE, and Power Draw (Watts).
- Mobile Device: OS Type, Model, IMEI, Phone Number, Carrier, and Supervised Device.
- Printer: Model, IP Address, Network Printer, Color Support, Duplex Support, and Monthly Duty Cycle.
Deleting an Asset:
- Open the asset and choose Delete Asset from the Actions menu.
- Confirm the deletion in the dialog.
Before deleting, AlgaPSA validates the asset's relationships. If the asset is still linked to other records, you may be prevented from deleting it until those links are removed.
