Project Templates allow you to define repeatable project structures, including phases, tasks, and statuses, to quickly launch new projects.
Creating a Template from an Existing Project
- Navigate to an existing project's detail view (e.g., "Emerald City Beautification").
- Click the Save as Template button.
- In the "Create Template from Project" dialog, enter a Template Name (e.g., "Emerald City Renovations Framework").
- Add a Description and select a Category for the template.
- Select which project elements to copy into the template, such as phases, statuses, tasks, checklists, services, and assignments.
- Click Create Template.
Creating a Template from Scratch
- From the main Projects page, navigate to the All Templates tab.
- Click the Add Template button.
- Follow the 5-step "Create New Project Template" wizard:
- Template Basics: Enter the Template Name, Description, and Category.
- Status Column: Select or create the Task Statuses that will appear as columns on the template's Kanban board. You can create a new status and mark it as closed status if tasks in that column should be considered complete.
- Phases: Define the project phases with a Name, Description, optional Duration, and Start Offset.
- Tasks: Add tasks to each phase. For each task, you can specify the Name, Description, Service, Estimated Hours, Duration, Task Type, Priority, Assigned To user, and Status Column. You can also add a checklist to break down the task.
- Review & Create: Review the Template Information, Status Columns, and Tasks Summary.
- Click Create Template to finalize.
Creating a Project from a Template
- Navigate to the main Projects page.
- Click Create from Template.
- In the "Create Project from Template" dialog, select the Template you want to use.
- Enter the required Project Name and select the Client.
- Set the optional Start Date.
- Under Customization Options, select the elements you wish to copy from the template (e.g., Phases, Statuses, Tasks, Checklists, Services).
- Under Task Assignments, choose one of the following:
- Don't copy assignments
- Copy primary agent only
- Copy all agents (primary + additional)
- Click Create Project.
Managing Templates (Edit and Delete)
Templates can be managed from the Project Templates list.
Editing a Template:
- Click the three dots menu under the Actions column next to the template you wish to modify.
- Select Edit.
- Within the template editor, you can:
- Edit Task Status Columns: Click Status Columns to add, remove, or create new status columns specific to this template.
- Edit Phases: Click the + button next to "Project Phases" to add a new phase or click an existing phase to edit its details.
- Edit Tasks: Click on any task card to edit its name, description, assignments, estimated hours, or other details.
Deleting a Template:
- Click the three dots menu under the Actions column next to the template you wish to delete.
- Select Delete.
- Confirm the action by clicking OK in the dialog box.
