18.6. The Licensing Portal: Upgrades, Seats, and Keys
Manage your appliance licenses from the Nine Minds licensing portal: sign in with an email link, upgrade to Pro, change seat counts, reissue activation codes, and download offline keys.
The licensing portal at nineminds.com/portal is where you manage the commercial side of your appliance: buying AlgaPSA Pro, changing how many seats you pay for, and recovering activation codes or offline keys. The appliance itself stays the place where licenses are activated; the portal is where they are issued.
There is no password. You sign in with the email address you registered your appliance with, and we send you a single-use sign-in link.
Signing in
- Go to nineminds.com/portal.
- Enter your registered email address. This is the address from your original appliance registration, the one that received your install code.
- Open the email and click the sign-in link. The link works once and expires after 15 minutes.
You stay signed in for 24 hours, then request a fresh link the next time. If several appliances were registered with the same email, the portal shows all of them.
Upgrading to Pro
Every appliance starts on the free Essentials edition, and every appliance includes a 15-day Pro trial you can start from inside the app (Settings → License) with no payment details. When you are ready to buy:
- Sign in to the portal and click Upgrade to Pro on your appliance.
- Choose your seat count and billing interval, then pay by card.
- You get a one-time activation code, on screen and by email.
- On your appliance, go to Settings → License → Activate with claim code and enter it.
The appliance upgrades in place. Nothing is reinstalled and no data is touched; the running system unlocks the Pro feature set as soon as the code is redeemed.
Changing seats
Seats count the internal users on your appliance: technicians, dispatchers, and staff who sign in to AlgaPSA. Client portal users are always free and unlimited.
To change your seat count, sign in to the portal, set the new number, and confirm. Billing is prorated on your existing subscription. The new limit reaches your appliance in one of two ways:
- Automatically, on the appliance's next daily license check-in.
- Immediately, if you click Refresh license now on the appliance's License page (Settings → License).

Reissuing an activation code
Activation codes are single-use and expire after 24 hours. If a code was lost, expired unused, or you rebuilt your appliance on new hardware, reissue one from the portal.
Reissuing invalidates the previous code and, if an appliance is currently activated with this license, disconnects it until the new code is entered. Use it when you mean to move or re-activate the license, not as a routine action.
Offline keys for air-gapped installs
If your appliance cannot reach license.nineminds.com, activate it with an offline key instead of an activation code. In the portal, click Download offline key, move the file to a machine that can reach the appliance, and paste its contents under Settings → License → Paste a license key.
Offline keys are bound to your specific appliance tenant and are valid for about a year; download a fresh one from the portal before it expires. Seat changes on air-gapped licenses are handled by support.
If your registered email changes
The portal identifies you by your registered contact email. If that mailbox is going away, contact support to move your registration to a new address before you lose access to it.
